HR OFFICER / EXECUTIVE ASSISTANT

JOB DESCRIPTION

Role Summary

The Human Resource Officer provides advice and assistance to supervisors and staff.  This may include information on training needs and opportunities, job descriptions, performance reviews and personnel policies of the company.

The Executive Assistant reports to the CEO and President of the company.  This position is responsible for providing senior level secretarial and clerical services for the CEO and President.

Responsibilities

Human Resource Officer

 

  • Ensure that accurate job descriptions are in place.
  • Provide advice and assistance with writing job descriptions
  • Provide advice and assistance when conducting staff performance evaluations
  • Identify training and development opportunities
  • Organize staff training sessions, workshops, activities
  • Process employee requests for outside training while complying with policies and procedures.
  • Provide basic counseling to staff who have performance related obstacles
  • Provide advice and assistance in developing human resource plans
  • Provide staff orientations
  • Handle employee recruitment and selection process in order to ensure a timely organized and comprehensive procedure is used to hire staff.
  • Develop and implement a human resources plan and personnel management policies and procedures
  • Promote workplace safety
  • Provide advice and assistance to Management on pay and benefits system
  • Organize the transitional provisions of employee compensation, pay, and benefits when positions are transferred or new positions are created
  • Perform other duties as required

Executive Assistant

 

  • Provide office support service in order to ensure efficiency and effectiveness within the CEO and President office
  • Receive, direct, relay telephone messages and fax messages
  • Maintain the general filing system and file correspondence
  • Assist in the planning and preparation of meetings, conferences, and conference calls
  • Make preparations for CEO and President meetings
  • Maintain an adequate inventory of office supplies for CEO and President
  • Provide word processing secretarial support to CEO and President
  • Prepare minutes of management meetings
  • Respond to public inquiries
  • Type confidential documents on a word processing system
  • Oversee the personal bank statements of CEO and President
  • Assist the Honorary Consul in the execution of duties related to New Zealand
  • Perform other duties as required

QUALIFICATIONS

Education and Experience

 

  • At least 3 years experience providing support at a high level
  • Knowledge of standard office administrative practices and procedures
  • Proficient in Microsoft Office (Outlook, Word, Excel)
  • Bachelor`s degree in Human Resource Management, Business Administration, or related field.
