The Load Planning Specialist supports safe, compliant, and fuel-efficient flight operations by preparing accurate flight plans; calculating aircraft weight, balance, and fuel requirements; and coordinating load-related information with flight crews and operational teams. This position is accountable for ensuring aircraft loads remain within airline, aircraft, and Federal Aviation Administration requirements.
Key Responsibilities
In this role, you will be expected to perform the following essential functions, with or without reasonable accommodation:
- Flight Safety & Regulatory Compliance: Apply airline procedures, aircraft limitations, and applicable Federal Aviation Administration requirements to support safe flight operations.
- Flight Planning & Fuel Calculations: Calculate fuel requirements based on aircraft type, route, flight distance, weather conditions, operational factors, and applicable airline and regulatory standards.
- Weight & Balance: Calculate and verify aircraft weight and balance, including maximum allowable takeoff and landing weights, to ensure operational and structural limitations are not exceeded.
- Load Distribution & Security: Develop and verify loading plans so baggage, cargo, mail, and other load components are properly distributed and secured in accordance with aircraft and airline requirements.
- Operational Documentation: Prepare accurate flight plans, load-planning documents, and related operational records, including available information on weather, airport or landing-field conditions, and Notices to Air Missions (NOTAMs).
- Crew Communication: Brief flight crews on flight plans, weather, NOTAMs, load acceptance, weight and balance, and other information necessary for safe departure.
- Operational Coordination: Coordinate with ramp operations and other operational departments regarding aircraft arrival status, loading and off-loading activities, load changes, and departure readiness.
- Traffic Activity Oversight: Take responsibility for assigned traffic and load-planning activities, promptly escalating discrepancies, safety concerns, or operational limitations to the appropriate supervisor.
- Continuous Improvement: Perform other related duties consistent with the role and participate in cross-training or skill-development activities as operationally required.
Relationships
- Reports directly to the Terminal Operations Supervisor (LPS) and receives operational direction, assignments, and escalation guidance.
- Works closely with flight crews, ramp operations, passenger service, cargo, dispatch, and other operational teams to communicate aircraft status and coordinate safe, timely loading and departure activities.
- May interact with airline representatives, airport stakeholders, and regulatory or oversight personnel in connection with assigned operational responsibilities.
Qualifications
Education & Certifications
- Associate degree in aviation, transportation, logistics, mathematics, or a related field is preferred; comparable directly related work experience may be considered.
- Current airline-specific load-planning, weight-and-balance, or aircraft-type certification is required for assigned operations, or the ability to successfully complete required certification before independently performing load-planning duties.
- Must be able to obtain and maintain all airport access credentials, security clearances, and operational qualifications required for the assignment.
Experience
- At least two years of aircraft operations experience, including experience with load planning, weight and balance, ramp operations, flight dispatch support, or a closely related function.
- Experience applying airline procedures and aircraft-specific operational limitations in a time-sensitive environment is required.
- Prior experience supporting multiple aircraft types, airline customers, or irregular operations is preferred.

- Computer Proficiency: Comfortable using airline load-control, flight-planning, communication, and standard office systems; able to learn new systems efficiently.
- Communication: Communicates clearly and professionally in writing and verbally with flight crews, supervisors, and operational teams.
- Situational Awareness & Problem Solving: Recognizes load, aircraft, weather, timing, or operational risks and responds calmly with appropriate corrective action or escalation.
- Teamwork & Collaboration: Works effectively across departments and supports coordinated decision-making in a fast-paced aviation environment.
- Adaptability & Reliability: Adjusts to changing flight schedules, aircraft assignments, weather conditions, and operational priorities while maintaining dependable performance.
- Confidentiality & Integrity: Handles operational information responsibly and demonstrates honesty, accountability, and professional discretion.
- Work Schedule Flexibility: Able to work assigned shifts that may include early mornings, evenings, graveyard shifts, weekends, holidays, and irregular operations, subject to applicable law and operational requirements.
