Description:

Responsibilities:

  • Reviews and transmits all payroll timesheets for Guam, Saipan and Palau employees by established timeline, clarifying discrepancies 
  • Prepares manual payroll and/or vacation leave pay out checks upon request 
  • Files the payroll records each pay period
  • Prepares payment schedules for employee advances and insurance premiums as needed 
  • Provides the Guam and Palau payroll records each pay period to the Guam Accounting Manager and the Saipan payroll records to the Saipan Accountant
  • Coordinates the pouching of and distributes payroll stubs to department managers 
  • Provides ACH remittance report from Pacific Guardian Life to Life Department following each payroll period 
  • Submits the Quarterly Total Workforce Listing report for CIU Saipan to the NMI Department of Labor
  • Submits the Quarterly Labor Statistics Report of Employment for CIU Guam to the Guam Department of Labor
  • Coordinates with payroll vendor for timekeeping and payroll processing support and troubleshooting guidance
  • Assists HR Generalist with recruitment activities such as phone screening and applicant reference checks
  • Maintains applicant tracking log and recording information required for affirmative action reporting
  • Assists with processes new hires and exiting employees
  • Assists with new hire orientation, exit interviews, and benefits orientation
  • Maintains employee files and employee listing such as changes in employee`s name, wages, payroll deductions and other employee records that affect payroll
  • Coordinates benefits enrollment as scheduled
  • Prepares Verification of Employment letters upon request and submits to HR Generalist for review and signature
  • Maintains and updates employee leave record (vacation and personal leave)
  • Assists in providing answers to frequently asked questions from applicants and employees relative to standard policies, benefits and hiring processes, etc.; refers more complex questions to the HR Manager
  • Assists with planning of company events and/or annual benefits open enrollment
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Maintains the integrity and confidentiality of human resource files and records
  • Acts as a liaison in assisting the manager with general IT requests such as setting up or terminating employee email addresses and network accesses
  • Performs other job-related duties as assigned

Position Requirements

  • High School Diploma or GED required
  • Bachelor`s degree in a related field preferred
  • Prior payroll administration and human resources experience preferred
  • Ability to exercise discretion, confidentiality and independent judgment in the performance of responsibilities
  • Experience with Microsoft Office (ex: Outlook Express, Microsoft Word/Excel)
  • Experience with operating Xerox machine (ex: Copy, Fax and Scan)
  • Must have excellent communication skills in verbal and written form
  • Pays attention to detail
