Currently, we are looking to fill the position of

FINANCE & INSURANCE ADMINISTRATIVE ASSISTANT

(FULL TIME)

The F&I Administrative Assistant coordinates, prepares and compiles vehicle sales documentation, reports and contracts for submission to financial institutions, Department of Motor Vehicle and the accounting department.

DUTIES AND RESPONSIBILITIES:

  • Processes DMV registration package as well as verify required documents.
  • Processes pre-cap deals to be forwarded to accounting.
  • Contacts customers to pick up license plates.
  • Cross-checks all incoming and outgoing documents to ensure everything matches and will not cause delay in payments.
  • Keeps customer files.
  • Verifies and consolidates required documents (Bill of Sales, Bank Contracts, Cover Sheets, etc.) to ensure conditional sales package is correct and complete.
  • Prepares Dealer`s Transmittal Summary for bank contracts to be forwarded to the General Manager for signature.
  • Submits Conditional Sales Contracts and other related documents to the bank for processing.
  • Maintains Bank contracts Control Log and updates outstanding bank contracts.
  • Remits Credit Life Insurance Premiums on a monthly basis.
  • Files all documents related to bank contracts.
  • Performs routine secretarial tasks such as scheduling appointments, making copies, typing correspondence, answering phones and taking messages.
  • Maintains files and other records as necessary.
  • Sends facsimiles as requested.
  • Prepares Contracts and Bills of Sale.  Ensures all papers are completed and ready for registration.
  • Prepares a file for every customer.  Ensures required documents are included and submits a file to accounting department.
  • Ensures that all deliveries reserved have the proper deposit, cash receipts and/or trade-in appraisal.
  • Caps all deals on a daily basis.  Ensures that all information is entered into the computer system.
  • Verifies that all documents to the sale of a car are true and correct prior to submitting to F&I Supervisor for final review.
  • Maintains daily report of Bill of Sales and Contracts along with all capped deals.
  • Receives signed license application from Sales Representative, completes form and prepares registration form.  Attaches safety inspection slip to registration form.
  • Goes to Department of Revenue & Taxation, Motor Vehicle Division to obtain pertinent documents.  Verifies all registrations and titles.  Prepares check for payment of fees.
  • Maintains safety inspection receipts received from PDI.
  • Corresponds with off-island bank Institutions or customers on information in obtaining license and registration documents.
  • Prepares Daily Registration Listing on number of vehicles registered.
  • Other duties as assigned.

QUALIFICATIONS:

High school graduate or equivalent with at least one(1) year general office work.  Must have a valid Guam driver`s license.  Must be computer literate.  Must be able to type accurately with a minimum speed of 45 words per minute. Must have general knowledge of accounting policies and general secretarial skills.  Able to read and comprehend instructions and information.  Excellent oral and written communication skills and organizational and time management skills.  Must be able to work independently with minimum supervision. Presents a professional personal appearance and able to work well with the public.  Must be attentive and able to work under pressure.  Must be attentive and alert.  Must be punctual and presentable on a daily basis.  Must maintain excellent attendance. 

WORKING CONDITIONS:

S/he will work at a desk in an office setting.  S/he will be required to use office machinery such as the word processor, typewriter, computer, telephone and copy machine, etc.  S/he may be required to work in other departments in the absence of certain employees.  May be standing or on her/his feet during most of the shift and move throughout the dealership facility.  S/he will handle all F&I errands to DMV, local banks, etc..
