Administrative Assistant/Office Manager

Description:

An Auto Repair Shop is seeking a skilled and service-driven Auto Repair Office Manager to lead daily operations and ensure exceptional customer service. The ideal candidate is highly organized, proactive, and knowledgeable about car parts and repair processes, with a strong ability to lead teams and build customer relationships.

Key Responsibilities:

1. Customer Service Excellence

  • Greet all customers with a friendly, professional demeanor—whether in person, by phone, or online.
  • Accurately explain vehicle issues, repair options, and cost estimates in a clear and approachable way.
  • Resolve customer concerns quickly and effectively to ensure satisfaction and encourage repeat business.
  • Follow up after service completion to maintain strong customer relationships.

2. Appointment Scheduling & Workflow Coordination

  • Manage appointment scheduling via phone, online platforms, and walk-ins to ensure efficient service flow.
  • Coordinate job assignments and priorities with technicians to optimize shop productivity.
  • Maintain accurate and organized records of appointments, service history, and customer communication with administration, vendors and business partners.

3. Shop Operations & Inventory Oversight

  • Oversee daily shop operations to ensure services meet safety, quality, and customer service standards.
  • Keep the shop clean, organized, and professional for both employees and customers.
  • Monitor inventory and maintain proper stock levels of auto parts and supplies. Must be able to identify, order, and verify the correct parts for various vehicle makes and models.

4. Team Leadership & Staff Management

  • Supervise technicians with clear communication and a supportive leadership style.
  • Manage staff scheduling and deliver regular performance feedback.
  • Foster a positive, respectful work culture focused on teamwork, accountability, and excellence in service.

Qualifications

  • Prior experience managing or supervising in an auto repair or service shop environment.
  • Strong knowledge of car parts and mechanical systems; ability to identify and source correct parts.
  • Excellent communication, problem-solving, and organizational skills.
  • Proficiency in shop management software and basic computer tools (email, scheduling systems, etc.).
  • Proven ability to lead a team and maintain high customer satisfaction.
