Purpose of Position
This position provides comprehensive administrative support to Court Support Services and Court Administration. The role ensures assistance with jury operations,court support operations, administrative functions, and facility-related matters while maintaining professional service to all.

Essential Job Functions & Competencies

Court Support
Jury Management
  • Assist Jury Managers weekly with the processing and management of petit jurors initially reporting for service.
  • Assist quarterly with grand jury orientation.
  • Provide support for special petit jury panels as needed.
Relief Coverage
  • Serve as primary relief coverage for Jury Managers and the Judicial Programs Assistant.
  • Serve as secondary relief coverage for:
  • CSPO Support
  • CSPO Liaison
  • Duty Magistrate responsibilities
  • Arraignment List preparation and coordination
  • Jury Manager assigned to grand jury
Other
  • Under the direction of the Director of Court Support Services:
  • Create, update, and maintain court schedules, including:
    • Duty Judge schedule
    • Duty Magistrate schedule
    • Disposition schedule
    • Weekly Duty Judge memorandum
  • Assist with the coordination and management of visiting judge requests.
  • Receive, track, and manage judicial leave notices and maintain a shared calendar.
Court Administration
  • Serve as liaison to Public Facilities Management for facility-related needs, including cleaning, repairs, painting, signage, telephones, and key access.
  • Develop and maintain a perpetual maintenance schedule to assist in role as Public Facilities Management liaison.
  • Coordinate all mock trials, including liaison with program coordinators, ensuring compliance with court requirements, managing event logistics, and communicating with appropriate County entities.
  • Coordinate Administrative Leadership Team events.
  • Maintain records of Court appointments to Boards and Committees, including monitoring appointment terms, preparing related correspondence, e-filing signed entries, and maintaining organized records.
  • Maintain and distribute official court communications and reference materials, including but not limited to:
    • Press releases
    • Updated email contact lists
    • Court Closure Notification Guide
    • Judges' and administrative staff contact lists
    • Chambers telephone listings
    • Court staff directory
    • Judges' genealogy records
    • Supreme Court disciplinary notifications
    • Court of Appeals decisions
    • Arrange and coordinate Judges' and Magistrates' group photographs.
General
  • Maintain effective communication with court personnel, stakeholders, and the public.
  • Provide information to attorneys, case participants, visitors, and members of the public as required.
  • Answer, screen, and direct telephone calls appropriately.
  • Maintain professionalism and composure in high-volume or stressful situations.
  • Respond courteously and accurately to inquiries.
  • Maintain professional attire and demeanor.
  • Participate in professional development activities and training.

Performance of essential functions requires exposure to accused and convicted criminal offenders.

Minimum Qualifications

  • High school diploma or GED
  • Five years' experience involving:
    • Court;
    • legal;
    • clerical; or
    • customer service.
  • Must be able to successfully become LEADS certified (which may be dependent upon individual's criminal history) and maintain that certification.
  • Proficiency in Microsoft Applications
