Position Overview:

The Administrative Professional provides essential support to the Consumer Services Division by performing a wide range of administrative and operational duties. This role manages consumer complaints and inquiries, processes division communications and mail, maintains records, supports public records functions, and ensures accurate data entry into the Ohio Department of Insurance Information System (ODIIS). Strong organizational skills, attention to detail, and the ability to work independently and collaboratively are essential.

Key Responsibilities:

  • Process and create consumer complaints and inquiries in ODIIS, ensuring accurate data entry.
  • Monitor and manage CSD email inboxes, voicemail, and mail folders.
  • Respond to routine inquiries or assign complaints for higher-level review.
  • Handle division mail, including scanning, sorting, importing, uploading, printing, and exporting documents.
  • Record meeting minutes and serve as the division's Public Records liaison.
  • Maintain and retrieve division records and identify confidential/medical information appropriately.
  • Serve as Division Information Steward by updating analyst roles, managing privacy impact assessments, and submitting IT service tickets.
  • Provide general administrative support such as answering phones, scheduling meetings, greeting visitors, and managing supplies.
  • Produce and proofread typed documents from written, dictated, or oral instructions.

Qualifications

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical

terminology.
