Executive Administrator

The Executive Administrator is responsible for day-to-day operations and oversight of the hospice multi-site Provider including implementation and maintenance of administrative practices, agency philosophy, goals, and policies which assure compliance with applicable state and federal regulations; coordination and completion of assigned projects to effectively support the immediate and long range objectives of the hospice Provider; enhancement of the profitability of hospice Provider; motivation and retention of qualified staff; and assurance of the quality of services delivered. This position also acts as a liaison with management staff and other departments throughout the company. The Executive Administrator or alternate will be available on-site at the primary assigned location during business hours and additionally, if needed.

Responsibilities:

  • Assumes full responsibility for the day-to-day operations of the hospice Provider, including appointment and oversight of any Provider site-specific operations leaders, such as a site-specific Executive Director.
  • Supervises Executive Directors appointed at hospice Provider multi-site locations.
  • Participates as a member of the hospice Provider Governing Body and facilitates Governing Body meetings that support review and discussion of the hospice Provider pillar activities and operations, including of site-specific information.
  • Oversees and/or directly investigates all patient complaints, and alleged or real violations involving mistreatment, neglect, or verbal, mental, sexual, and physical abuse of a patient.
  • Oversees and/or directly investigates all patient-related sentinel events.
  • Oversees the hospice Provider quality assurance performance improvement program (including multi-site locations), to include use of objective data to improve performance in the areas of improved patient/family care and activities related to patient health and safety. Specific performance improvement activities include, but are not limited to, root cause analysis and development of action plans and focused performance improvement projects.
  • Reviews monthly hospice Provider and multi-site location financials relative to all aspects of the operation to assure that quality patient care is delivered in the most cost-effective manner.
  • Oversees and/or reviews weekly metrics, claims alerts, productivity, and census reports and follows up on negative trends as needed.
  • Reports to the divisional leadership team on all operational, financial, risk management, compliance, staffing, business development and patient care issues.
  • Reviews monthly and quarterly operational and market development financials with Executive Directors and Account Executives for the hospice Provider with follow-up for variances.
  • Collaborates with RVP on current budget and budget forecast for the hospice Provider and multi-site locations.
  • Works closely with sales and operations leaders and staff to drive a vision of appropriate growth by focusing every team member on the needs and expectations of the referral community and patients.
  • Knows the features and benefits of hospice services and is able to articulate competitive advantages, specialty programs, and Medicare/Medicaid guidelines.
  • Reviews and approves, with Human Resources guidance, all people decisions including, but not limited to, terminations, suspensions, new hires, talent reviews and grievances, as needed, for the hospice Provider and multi-site locations.
  • Acts as a mentor to multi-site location leadership regarding each assigned agency's fiscal, clinical, census and quality metrics.
  • Ensures adequate staffing of the hospice Provider including multi-site locations as well as adequate staff education and evaluations.
  • Ensures timely completion of the hospice Provider staff evaluations, including staff at multi-site locations.
  • Identifies education needs and ensures adequate staff education for the hospice Provider.
