Employment Status: Regular/Full-Time

FLSA Status: Exempt

Description: The High School Secretary serves as the primary contact on behalf of the building principal with students, parents, teachers, and the community. They provide clerical support necessary to maintain accurate and complete student records and act as a receptionist for the assigned building.

Essential Duties and Responsibilities

  • Ensure safety of students, taking all necessary and reasonable precautions to protect students, equipment, materials, and facilities.
  • Perform general office duties including answering multi-line phones, greeting the public, typing, filing, sorting, and handling incoming and outgoing mail.
  • Provide administrative assistance to the Principal.
  • Coordinate the Principal's office, acting as receptionist, and contact and reference source for staff, students, parents, and the public.
  • Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals.
  • Greet parents, students, staff and the public in main office and direct as appropriate providing guest badges, etc.
  • Complete computer data entry work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
  • Professionally represent the school and the District in interactions with parents, community, staff, and students.
  • Operate office equipment, such as fax machines, copiers or phone systems and arrange for repairs when equipment malfunctions.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents.
  • Order and dispense supplies.
  • Order diplomas.
  • Appropriately maintain and secure confidential records and inquiries e.g., custodial papers, IEPs, birth certificates, grades, medications and health restrictions, court documents and papers.
  • Maintains daily attendance reports for substitute teachers and employees and submits reports to the District office at the end of every week.
  • Sorts and distributes mail to appropriate individuals.
  • Administers first aid and care of illness and injury in the absence of the school nurse and prepares accident reports when necessary.
  • Demonstrates sound judgement and emotional stability.
  • Demonstrates positive attitude and works and communicates well with others.

Knowledge
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services.
  • Knowledge of student records software.
  • Knowledge of basic safety procedures and first aid.

  • Skilled in organizing and problem-solving skills.
  • Skilled in active listening by giving full attention to what other people are saying, taking the time to understand the points being made, asking questions as appropriate and not interrupting at inappropriate times.
  • Skilled in speaking with others to convey information efficiently.
  • Skilled in understanding written sentences and paragraphs in work related documents.


Abilities
  • Ability to work effectively with others.
  • Ability to communicate ideas and directives clearly and effectively both orally and in writing.
  • Ability to generate correspondence independently.
  • Ability to operate and utilize office equipment including copy machine, computers, etc.


Minimum Qualifications
  • High School diploma or general education degree (GED)
  • Satisfactory completion of BCI and FBI background check
  • One- or two-years of related experience.

Physical Demands
  • Required to have dexterity of hands and fingers.
  • Specific vision abilities required include close vision and ability to adjust focus.
  • Required to stand or sit for extended periods of time.
  • Regularly required to bend at the waist, kneel, crouch, reach, climb and stretch with hands and arms.
  • Required to report to work on all scheduled workdays.
  • Frequently required to push, pull, lift, or carry various supplies and materials up to a maximum of 25 pounds.
  • Frequent repetitive hand motion, e.g., typing, computer work.
  • Occasional exposure to blood, bodily fluids, and tissue.
  • Occasional interaction among unruly children.
  • Occasionally required to speak and hear.
