Summary

We are seeking an Administrative Coordinator to join our team at Compton Construction. In this role, you will play a vital part in ensuring the smooth operation of our office, supporting our accounting team, and enhancing customer satisfaction through effective communication and organization.


Office Management Tasks:

  • Greet visitors and answer phone calls. Sign for packages and ensure a positive first impression for anyone visiting Compton Construction.
  • Sort incoming mail, go to the post office and bank as needed.
  • Maintain and manage office supplies inventory, reorder as needed.
  • Organize and upkeep the office, including the conference room, supply closets, kitchen, restroom, lobby, etc.
  • Act as a liaison for service providers, including cleaners, delivery and mail carriers, phones, and IT company.

Administrative Accounts Payable Tasks:

  • Assist in Accounts Payable tasks including accounts payable entry, requesting invoice resubmissions from vendors, stuffing & mailing payments, and document management.
  • Serve as the subcontractor liaison for sending and receiving lien waivers and compliance documents.
  • Learn Sage 300 CRE accounting software through training to utilize AR/AP modules, share reports, and analyze compliance information.
  • Manage credit card receipts and invoices by collecting, entering, filing, and reporting.

General Requirements:

  • Ensure the smooth and adequate flow of information within the company to facilitate business operations.
  • Assist with tasks delegated by the leadership team.
  • Complete special projects in systems improvement, marketing, or IT as needed and as your talents & interest lend themselves.
  • Participate in Admin/Finance department meetings and support weekly objectives.


Qualifications:

Required

  • Bachelor's degree (BSBA) from a four-year College or University; or minimum of two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to apply mathematical concepts such as fractions, percentages, etc.
  • Proven history of attention to detail and applying good judgement and reasoning in an office environment.
  • Valid driver's license with reliable transportation.
  • MS Office skills including Word, Excel and Outlook Excellent verbal and written communication.
  • Ability to read, interpret, and analyze complex documents.

Preferred

  • Ability to provide perspective and collaborate with accounting team
  • Accounting software experience
  • Experience in the construction industry
  • Familiarity with the book “Traction” by Gino Wickman and the Entrepreneurial Operating System

Desired

  • Outside interests – hobbies, community involvement


While performing the duties of this job, the employee is occasionally required to sit for lengthy periods of time and walk occasionally. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. This position requires the ability to occasionally lift office products and supplies, up to twenty pounds.
